When a transaction is under contract I will: 


  • Coordinate opening of the file with escrow and handle all documents securely.


  • Introduction email will be sent providing a timeline of deadlines with a copy of the executed contract to coop-agent, buyers agent, buyer/seller - (Your client as appropriate) lender and title company.


  • Ensure all paperwork is fully executed with dates, initials and signatures. 


  • Submit all required contract documents to broker for compliance.


  • Send/request disclosure documents and gather signatures if needed. 


  • Ensure the lender, title company, and broker receive any amendments or changes to the contract. 


  • Verify EM deposit and obtain receipt from escrow. 


  • Keeping in contact with the title company and lender throughout the transaction. Provide agent email updates on the status of the transaction. 


  • Update deadlines due to any changes in the contract. 


  • Ensure your buyer/seller is provided a copy of all documents. 


  • Remind agent to draft Commission Disbursement. If TC is completing CD request, form MUST BE approved by agent before submitting to escrow and compliance.


  • Upload all disclosures, documents, and reports into agents online transaction management service as they are received or fully executed throughout the transaction. (if applicable) 


  • Maintain consistent contact with all parties involved for status updates as well as outstanding items. 


  • Verify escrow has all required documentation. 


  • Coordinate and confirm final walk-through. 


  • Schedule signing appointment for client and agent if applicable. 


  • Conduct a final audit of file 7 days prior to closing to ensure all documents are uploaded and the file is complete. 


  • Confirm final recording and alert agents. 


  • Upload Final HUD/ CD to online transaction management service for compliance

  • Upload buyers rep agreement and all broker required forms for compliance. 


  • Submit all executed contracts, counter offers, and addendums (if applicable) to lender.

SELLERS SIDE: 


  • Upload Listing Agreement and all broker required forms for compliance. 


  • Follow up with signatures of all documents. 


  • Upload all forms and addendums for compliance. 


  • MLS Data Input to pending, and closed. 


  • Set up ShowingTime


  • Order For sale sign down. 



Agent Expectations 


Review preliminary title reports. Review escrow Instructions and settlement statements. Negotiate repairs and any changes to the contract. Advise the client of any contingency timeline removals (I will remind all parties of the dates and timeframes in the introductory email). If TC is drafting documents, the agent will review before being sent to client (if applicable).

  • Schedule photography


  • Have listing agent edit or approve MLS input before going live


  • Email seller copy of the listing


  • Add required documents to the MLS listing such as CC&R's, Property Condition Report and Lead Based Paint Disclosures.


  • Add all listing documents, disclosures and any other required documents to broker’s online compliance management software ensuring file is complete.
